**What do you like best about Acquia DAM (Widen)?**

Acquia DAM is an intuitive, reliable, and highly-configurable digital asset management (DAM) platform that has become essential to my work supporting marketing and sales operations. It’s easy for teams to use, even with minimal training. Like all DAM platforms, there are a few quirks (for example: using the “Search within Document Text” feature can return what an untrained user thinks are incorrect results, but is exactly what they searched), but once explained, users appreciate the depth of functionality.

As an admin, I rely heavily on metadata tagging to organize assets by product and content type. Acquia’s filename-to-metadata integrations have significantly reduced manual tagging, and I anticipate that their new task automation integration will do the same. Additionally, their seamless integration with CI Hub and Workato makes it easy to connect with tools like Adobe and Microsoft Office. While some of these integrations require support team involvement to update, the turnaround is fast – usually under 24 hours.

Performance-wise, Acquia DAM is outstanding. Searches return results in under a second, and I’ve never experienced a system-wide outage long enough for users to notice. Even a DAM consultant I hired commented on how much faster it is than the competing platform used by their employer.

Customer support is responsive and thorough. Over 98% of my issues are resolved through the Customer Community Portal, and I’ve only needed to escalate once. Acquia also connected me with Stacks, a third-party agency that helped create custom documentation and training tailored to our DAM.

User adoption has been phenomenal. After transitioning from a marketing-only tool to an organization-wide platform in 2023, user satisfaction jumped from 3% to 58%, and frustration dropped from 32% to just 2%. One sales user told me, “It’s a convenient and easy-to-use one-stop shop,” and a distributor even said our DAM is easier to use and more content-rich than our competitors’ platforms.

My favorite feature is how intuitive it is for untrained users – over 90% of our 1,000+ users receive no formal training, yet they can still find and download what they need. The platform scales beautifully with evolving needs, and its Asset Group Security/User Role functionality allows me to onboard new users or use cases without disrupting existing permissions.

Searches are generally effective within 1–2 tries, and while advanced search could improve results, the upcoming semantic search feature promises to make this even better. I also use Portals to provide selective access to assets – especially helpful for things like vector logos that sales users don’t need regularly but must access intentionally.

The DAM-focused team at Acquia deserves special recognition. They are knowledgeable, responsive, and genuinely invested in the success of their customers. As an admin, I’ve felt consistently supported and motivated by their guidance and enthusiasm. Whether it’s through direct support, community engagement, or DAM-specific events, they foster a sense of partnership that makes managing a complex system feel collaborative and rewarding.

**What do you dislike about Acquia DAM (Widen)?**

While Acquia DAM is a powerful and reliable platform, there are a few areas where it falls short or could be improved.

One recurring issue is that system-generated emails often get caught in spam filters, especially for third-party users. This can lead to delays or missed communications. I’ve mitigated this for internal users by working with my IT team to add the email address to my company’s safe senders list, but external users don’t have that luxury. Additionally, the way user permissions are applied to shared collections is frustrating. If a recipient has a DAM account, their permissions override the shared link – even if the link doesn’t require login. This isn’t a bug, but a design flaw that undermines the sharing experience.

There are also several limitations on the admin side. For example, Acquia DAM only supports one complex and one one-way SSO integration, which is restrictive for organizations like mine that work with multiple distributors. Admin search functionality is limited and unreliable: I can’t search users by all fields (like state), and even when I can, the results aren’t always accurate. There’s also no way to mass edit user details or automate external account management.

Another major limitation is that admins cannot perform mass metadata updates on archived assets – only Acquia personnel can, and that comes at a cost. The new Insights module is also underwhelming; while it can run basic reports like “searches with zero results,” I often have to rely on Acquia-provided Excel workarounds to get the data my team needs.

While integrations like filename-to-metadata are incredibly helpful, they require support team involvement for updates. This means I have to plan ahead and coordinate changes, which adds friction to what could be a self-service process.

Search is generally strong, but there’s still no reverse image search capability, something admins have been requesting since at least 2015. Portals are also limited: they only support five filters, which makes them impractical for anything beyond very narrow use cases. In my opinion, most organizations can do without the Portals feature entirely.

Another challenge is the lack of visibility into support tickets submitted by non-admin users. As the DAM admin, I can’t be copied on or view tickets submitted by my team. This is problematic because many of their issues involve internal terminology or search errors that Acquia support may not understand without context. It would be far more efficient if I could triage or field those requests first.

Pricing has become a concern. Since Acquia acquired Widen Collective, costs have risen more rapidly. I’ve seen higher-than-expected rate increases, and unlike the initial contract, Acquia hasn’t offered savings for multi-year renewals. If you’re considering Acquia DAM, I strongly recommend negotiating a cap on annual rate increases in your master service agreement.

Finally, it's important to note some broader challenges. The private equity firm that owns Acquia DAM has laid off critical staff – including the Senior Managed Services Consultant I was actively working with – in favor of short-term profits. I believe this will negatively impact the long-term success of the platform. Additionally, Acquia’s primary focus on Drupal can sometimes leave DAM-only customers feeling overlooked at Acquia events. That said, the DAM customer success team remains highly motivated, and DAM-specific events (both virtual and in-person) are always beneficial.

Acquia DAM is helping me solve the challenge of managing a complex, enterprise-wide digital asset library in a way that’s scalable, secure, and user-friendly. When I first inherited the system, it was configured with a marketing-first mindset that didn’t reflect the needs of our broader organization. With Acquia’s support, I was able to reconfigure the DAM to align with our new structure, streamline permissions, and improve asset discoverability for internal teams and external partners.

One of the biggest problems Acquia DAM has solved is inefficient asset access. Sales teams used to spend minutes searching for materials like program decks or tech sheets, and distributors had to email us for logos or brand guidelines. Now, with a self-service setup and improved search functionality, users can find what they need in seconds. This has saved time, reduced frustration, and allowed me to focus on strategic improvements instead of fielding repetitive asset requests.

The platform’s flexibility has also been a game changer. I can onboard new user groups or adjust permissions without having to restructure the entire system. That level of control and scalability is critical in a fast-moving organization. Since launching our refreshed DAM, user satisfaction has increased dramatically.

The Acquia DAM system is set up to empower a full time admin. It's a very self-service system, with admins being able to perform configuration and maintenance tasks themselves. When help from Acquia is needed, the support team is available online chat and/or email support and is always professional and helpful.

We also like that Acquia DAM includes a suite of applications to help manage assets, specifically for product information management and workflow.

The robustness of the API allows us to integrate our DAM into our technology stack. As a result, we have been able to align our asset management practices with existing workflows and overarching business needs.

**What do you dislike about Acquia DAM (Widen)?**

Acquia relies on a network of partners for integrations with other systems. Development of specific integrations can lag and don't always align with our technology stack. The a la cart nature of integrations provides flexibility (don't pay for what you don't need), but can add up if you want a lot of integrations. 

Setup fees are usually required  to configure new applications within the system or when adding integrations; these are one-time fees but do require additional budget beyond the cost of the applications or integrations themselves.

Our design team uses Acquia DAM every day and wishes for a more fully featured connection with Adobe Creative Suite.

Single source of truth for digital assets. Versioning of assets, plus integrations and connections with other systems (sales enablement system, website, the Portals microsite application in Widen), lets us replace an out-of-date file in all connected systems by uploading a new file in a single place. Cloud-based asset storage/sharing makes files available to a distributed, global workforce.

As a project coordinator who connects with outside business partners frequently, I appreciate how easy for me to create a collection of assets that I want to share with people. I like how I can customize the view in a simple way that is very user-friendly, even to people who are not familiar with the platform. I also like the feature where I can create my collection and manage its privacy or permissions. All in all, its fairly straightforward and fast. Although I haven't really explored every nook and cranny of it, I can say it serves its purpose, and it definitely makes my job easier.

**What do you dislike about Acquia DAM (Widen)?**

Sometimes it's hard to look for certain assets, especially images. I think if it has a feature like image search, it would be a lot easier. For a company as big as VSP, where users store thousands of assets, we can't help but have some errors in the naming conventions, and it would help us locate files/images a lot faster if we had that technology.

I think creating collections and portals are really unique on this platform and very beneficial to us. Collections are for easy sharing of assets so they can be accessible to people who I am working with and Portals are for something bigger like for our eyewear brands. Portal helps us mentain branding policies, user guides, and loads of collections and assets for our design team and business partners. as a coordinator, now its easier for me to share/explain something to different people, whether it is about business rules to outside partners, or brand guides to our own designers.

It is easier also to onboard new people since they can just go back to certail brand portals to check things. It solves the gap on just being a storage to actually be more than that which helps the users to be more efficient on their jobs.

I like the ease of use for users. I use the platform frequently, almost every day along with my coworkers. I enjoy the filtering options and the Acquia Team, specifically Aiden, have been incredibly helpful.

I wish there were more template options for both portals and the dashboard. I think that would be incredibly useful. I enjoy the ability to customize it, I just wish there were some more structured options.

Acquia has helped me with a number of things, including integrations with other partners. They are always quick to respond and give helpful advice. My favorite part about Acquia is the ease of help- chat support is always available quickly and I like that they will get back to me if they can’t answer right away on the spot.

Some things seem clunky, like two views of assets. I also wasn’t the moooost impressed with our onboarding training, we had no idea what we were doing and I feel like the help wasn’t super customized to us, so we pretty much had to redo everything once we understood the dam better. And it’s been difficult to get someone to help us get our wrike integration working even though we’ve been paying for it since we joined Acquia.

I find the DAM to be relatively user-friendly. As with other databases, it does take some getting used to. There are a number of training videos to watch that are helpful. Once you get into the individual asset modification, there are a number of ways you can do that - through the system itself or by downloading a csv file where you can make the modifications off-line and then upload said document for ease on adding metadata.

Sometimes navigation on the DAM can be a bit annoying. Going back one level isn't the easiest thing to do sometimes. It almost feels like you have to start fresh with each "search."

I think the best thing for me as a designer is that clients can access the collective and source their own images. I used to waste HOURS sourcing images for internal clients. We set them up as a user, and click, done. Client is empowered to search and source their own images, and our brand is consistently presented to them with a customizable WIDEN interface. Life saver.

**What do you dislike about Acquia DAM (Widen)?**

I think the only thing I can say negatively about WIDEN, is entering metadata. I loathe it. It takes time to think through possible metadata tags, but we share the workload, and it's a minor irritation. I wish it just knew what I was thinking. :)

Do your research, there are MANY DAM solutions out there, but when you compare everything that WIDEN can do for your Media Collective, at the price point that it's set at, the reviews will speak for themselves.

Benefits are MANY. We store all of our images and video files in a central CLOUD BASED databank. Anyone we grant access to, may do so remotely or from our location. We were able to brand our Media Collective with our new branding to further promote the brand, with a consistent approach. We are able to free up Hard Drive space locally by storing in the cloud, and everything is backed up. No fear of losing valuable files. Ever.

My favorite aspects about Widen is the implentation of the metadata. You are able to find any asset with ease and it take the load off the  designers when assisting others with assets. We use Widen on a daily basis, either uploading or sharing deliverables. We use links from Widen and share them with other team members through our project managments software so everything is available in one place. Whenever you have any issues, their customer serivce works with to solve any issue and it is done quickly!

My only dislike is that the metadata takes some time to upload every now and then.

Before Widen was acquired by Acquia, the training and customer support was incredible. Unfortunately there has been a steady decline in service since the transition.

**What do you dislike about Acquia DAM (Widen)?**

More and more technical issues and outages. Declining service. Dismissive and unhelpful during offboarding. 

For internal reasons, our organization decided to pivot to a different platform that better met our needs for product information AND digital asset management. The service had already been declining for over a year, but once we communicated our need to offboard, the service became significantly worse. I was stood up for a meeting where I was meant to get instructions about backing up our assets (a service guaranteed in our contract). We were also told in our offboarding meeting that a short 3 month extension would be possible, but when I followed up for more information they said only six month was possible (and that 6 months was a special length). They were also going to charge 2/3 the rate of a full year for a six month extension.

This offboard experience has been especially disappointing because despite the decline in customer service and increase in outages, I would have still recommended the platform to others looking for a DAM, and I certainly would have considered them in the future. Unfortunately that is no longer the case. I hope they can identify whatever is happening internally that has lead to this decline.

The DAM has centralized assets for internal and external markets and streamlined the sharing process. Unfortunately their PIM offering (Entries) was not sophisticated enough for our data. Our companies priorities have changed and we require a DAM/PIM combo, so we had to leave the platform.

The portals feature in Widen has been a realy helpful resourse for our team when it comes to sharing branding and marketing materials with other groups. It was super easy to incorperate into our current Widen set up and has been easy to train others in it's use. When we expressed interest in using the portal feature, the Acquia team was incredibly helpful in showing multiple case uses and how it could best fit our needs. We use portals frequently and can't wait to see how else it will help our workflow.

Advanced search ensures that I can always find the exact right asset, and it's wonderful having everything in one place and knowing exactly where to start. It majorly cuts down on the amount of time my team and I spend looking for things. I LOVE that there's a single source of truth for brand assets, and I can easily make sure that my colleages are using the correct things. It's so collaborative and easy to share both internally and externally. It's a pretty easy learning curve to get people set up as general users. I have our DAM system open all the time and refer to it so many times a day.

**What do you dislike about Acquia DAM (Widen)?**

I wish we had the ability to manually crop assets in the DAM and export them at the correct resolution, rather than having to download and then pull them into another program before using.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

Our assets were all over the place! In folders within folders within folders on a server that can only be accessed at our physical location, in Sharepoint (not visual), in Creative Cloud (not collaborative), on individual desktops and phones. When we shifted to remote work with the pandemic, our physical server, which was always our best answer, immediately became a barrier. Also we're a large organization with lots of departments who have historically worked pretty independently, so there are lots of versions of our brand assets bopping around in many different places. It's huge to have a go to place where everyone can access the correct versions of assets, as well as standard brand colors, fonts and styles. It's tightened up our brand while adding more variety to our visuals - staff have a huge variety of photos to choose from, rather than the folder on their desktop. I'm getting fewer emails asking me to send assets, and when I do, I have a long term answer instead of a one off reply.

Both controls on the admin side, as well as the day to day user experience feels like a legacy enterprise system rather than a powerful new tool that is the future. This is not just the aesthetics, although this ofcourse plays in to the user experience, but it is also the number of clics it takes to do anything, and how intuitive those clicks are.

Aquia DAM is easy to use and gives a ton of customizable features. From creating portals that we can share with the team to being able to integrate it easily with other vendors and websites, it is the full package. It was easy to implement within the company, easy to train our staff on and is used on a daily basis. We wondering how we used to function before we added the DAM.

The only downside was that we couldn't make it our new Image Library. Not really a knock on the product, just wasn't going to work the way we were hoping. Doesn't matter though, it does so much else for us that this one thing isn't a big deal.

The Acquia DAM has completely changed the way we manage our digital assets.  We started out with packaging graphics, and have now expanded to multiple teams and business units, all with their own unique assets.  Our DAM is heavily used every single day, and has made many improvements in the way we function in our individual roles and as teams.

**What do you dislike about Acquia DAM (Widen)?**

I'm not sure I can find a downside to the Acquia DAM.  Rarely, we might run into a particular functionality that is not available at that time.  Acquia welcomes  ideas and suggestions from customers, and take them seriously.   Trello boards are used to keep us all informed of where they are in the process of new developments.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

We make great use of both Portals and Workflow.  Portals provide access to multiple members who do not need upload or edit permissions.  Our Sales force can easily access the assets they need to keep our customers happy through our Sales portals.  Workflow has replaced the awkward process of passing paper files and sticky notes back and forth multiple times.  Our graphics approval process is now streamlined and efficient.   Teams such as HR, Social Media, and others, now have quick and ease access to search for and find pertinent photos and videos for use in both internal and external communications.  Historical photos and marketing materials have moved from storage boxes to the safety and searchability of our DAM.  We are very proud of Johnsonville's journey from small town butcher shop to the globally loved brand we are today.  Access to those historical assets helps us all connect to our roots in ways we could not before the creation of our DAM.

Devops as a Cloud, I have had some good experience with Acquia DAM. One thing which I like about this software is the way it simplifies our digital asset management. For a platform, it is excellent at how organized and efficient in the way we can organize our extensive media library, making assets easy to search and use. It is especially good if we are partnering with external agency, thus improve the efficiency of our work flow. Supporting multiple formats also makes my work easier, as I deal with different types of media.

However, I've noticed some drawbacks. It does not work well when I try collaborating with other external users. At times, sharing the collections and getting feedback from clients through portals seem a bit cumbersome and this is another little drawback which acts as an obstacle and does not allow them to keep up with smooth functioning.

Beyond the ease of use of the tool itself, it is the top-notch customer support that has made our transition a complete success. There was great value in the upfront hands-on demos and planning sessions to dial in our specific use case. The strong documentation, process and coaching helped compartmentalize what was a fairly daunting undertaking. There is no doubt it made our weekly tasks digestible and surely sped up the implementation process and integration with our expanded groups. 

The vast features make it simple for an level of user despite their frequency of use. There are multiple ways to use the tool with the same outcomes. I continuallty receive compliments from our stakeholders on how much of an improvement this is from our older DAM system. 

Additionally, I love the follow up service even after the implementation. I feel like a valued part of the Acquia family and DAM community. This is a tool you should be considering and is a valuable single source of truth for your brand and marketing asset management. I feel confident that the Acquia team will take full care of you and you will be pleased with the platform.

I have to remind myself that this is a WYSIWYG type of platform. Though easy to set up, I find myself wanting more design customization, that is the designer in me talking. Acquia DAM serves as the signle brand resource for our organization. The customizable metadata has strongly improved our stakeholders finding the assets they need. Additionally the tool has taken the guesswork out of retiring rights managed photography or expiring outdated products. As we start to scale our business into onther retail channels we are eager to start learning of how integratign with a PIM could be a benefit to us.

What I like the most about Acquia DAM is the fact that it is flexible and easy to use.  It allows me to effectively and efficiently manage assets across all the company brands.  I also appreciate the simplicity of the search functionality which allows me to locate assets faster.

What I dislike about Acquia DAM is the lack of report capability.  The insight reports are too broad and don't really allow you to narrow the information down.  For example, on the Asset Engagement report, there is no way to narrow the numbers down for one specific asset.  In other words, if I wanted information strictly for video assets, there is no way to run a report and make that designation.  Also, there should be more education provided that would explain the Insight reports more thoroughly.

Acquia DAM system is used globally across our org and allows for users to easily access assets. The customer support is definitely one of the highlights of the system. The team is responsive, helpful and a pleasure to work with. As our needs grow, we find ourselves learning about and utilizing new features frequently. Portals are an incredible feature for us, as we have an expansive portfolio of products and we can really zero in on each brand individually.

As a global org, having multi-language capabilities would be a massive win for us. Also, portals and collections can be difficult to manage/admin as we have SO MANY.

Widen Collective has been instrumental in the ease and speed of file organization and sharing files too our customers. It has been a positive transition for our company and a huge plus when trying to file share remotely! Definitely makes it easy when trying to send files from your phone to a customer in seconds!

As a webmaster in a local government agency, we've used Acquia DAM to help us create smoother processes for our content contributors to add and update assets. The ability to create different upload profiles for each department has allowed us to automate adding metadata and made things easier for our internal users. The different options for creating collections, portals, and filtering are features we use frequently. We look forward to using  the new generative AI features to help us automate adding alt text tags and other metadata!

The asset display modes seem designed only for images, not documents. We have a lot of document assets and really need public list views available in collections and portals that don't show huge icons.

I can't really say that we have had any major downsides come up so far, but the feature I would say I like the least, or could use the most improvement, from my perspective is the dashboard messages.

Widen Collective is helping us being able to easily store and manage a massive amount of assets between several brands, add relevant metadata to those assets, and have a cleaner update process.

Good customer support is one of the great things about Acquia. They have helped me anytime I’ve encountered any problems. These robust reporting features enable you to analyze your assets and their performances. I also appreciate that it allows multiple file formats for files, especially considering our broad content. The last but not least is the role of the permissions system that confers access to specific resources to the right members.

**What do you dislike about Acquia DAM (Widen)?**

At times, I feel that the Home page appears to take time in loading and this can be irritating. Furthermore, I find some of the Reporting tools confusing, and they need much educational enhancement to get used well.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

Acquia has proved vital in organizing our digital assets and content. The structure of the platform makes sure our data is organized, accessible, and can be used for making informed decision-making. This has significantly assisted me in my role, simplifying operations while increasing our project outcomes.

Widen is very customizable and fits our company's needs. It is very easy to use and customer support is very responsive. Our team uses it on a daily basis to share asses internally and externally.

It would be great if the resizing feature worked better. At this time we are not using the feature because it doesn not work for us, specifically with lifestyle images.

**What do you like best about Acquia DAM (Widen)?**

It is extremely easy to find everything through tags, keywords, etc. It's simple to update your files through versions. It's also a breeze to share files and download in prefered resolution and/or formats. 

Plus, it's compatible with the CI HUB extension on Adobe, so you can directly import photography into your working files as needed.

**What do you dislike about Acquia DAM (Widen)?**

It isn't compatible with some social media managers, such as Sprout. It's an extremely large project to begin and start from scratch.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

DAM is helping us have one location to house all of our assets - instead of having them in several different locations owned by different employees. It's easy to manage and locate current files. Now we can always be sure that we are sharing and working from the most recent file versions.

I like how I can search categories, and then refine the search within those to filter exactly what I'm searching for.
I like the use of collections for quick searching of common sets of images.

**What do you dislike about Acquia DAM (Widen)?**

I would like to be able to save pre-set filters so I don't have to enter the same ones 85% of the time.
Converting a file during the download process is cumbersome and takes too much time. I end up downloading in origianal format and converting myself to save time, but not all users are designers and can do that.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

I like how one image can have several different versions so we can view edited/expanded/color corrected versions and choose which version we want to download.

Widen is great for safely storing and pulling assets. I particulary enjoy the "Collections" feature and the fact that you can make global or personal collections.

Downloading certain image sizes, say for blogs or social posts, doesn't always yield the right results.

**What problems is Acquia DAM (Widen) solving and how is that benefiting you?**

We need a DAM that can securely store hundreds of thousands of assets and Widen does a commendable job of this. It helps that we get over 20 active users so people from multiple departments can store and pull assets.

Acquia DAM makes sure that with proper workflow and governance the team cannot use media without approval. This makes the team to stick with brand guidelines.

No frontend interface exists. This is a big challenge, as without a UI how would one manage the content uploaded.

Allows us to build a governance mechanism on what kind of images and videos can be used on the website and what cannot be used. It comes with options to show non approved content as well.
