What do you like best?

The Software cost is reasonable. The on-boarding process is very well supported. The Server and workstation software install is trivial as the on-boarding support person fills in most of the blanks. The knowledge base is large and answers most questions. Support is excellent. The support for QuickBooks is great but see my dislikes if you plan on using this software. I don't think Acctivate understands much about State and Federal Compliance Regulation and they should since this is a business financials driven application. What do you dislike?

If you are using Office 365 (the 64-Bit version) it is not supported, email does not work (in App) to send invoices from the Acctivate App to your customers. The Acctivate suggested Workaround is to install an SMTP Relay. This is a SERIOUS SECURITY VULNERABILITY, if you setup an SMTP Relay you will be sending customer account information in a clear text email which anyone can read, so invoices with account numbers can also be read BY ANYONE. I sent a very long worded email to an acctivate rep about this on April 7th and have received no response, today is April 12th. https://hub.acctivate.com/articles/sending-email-with-office-365 is the Link from the acctivate Knowledge Base on their Website support page which discuses the 64-Bit workaround. The only way to fix this issue is to build an SMTP Relay and add an SSL/TSL certificate which will cost ~$400.00 for 5 years. If you install the certificate it likely wont fix the issue unless you also configure an IIS server, so you need a web server to fix an email issue. Additionally, Acctivate does not even hint at installing a security certificate in their support guide. The current version of Acctivate is 11.0 SP1 which was just released and is only a 32-Bit application, so if you have a large organization that will be using this Application your going to run out of memory on your host server at the 4GB ceiling, 32-Bit apps have a 4GB memory limit no matter how much memory your server has installed. Microsoft deprecated Office-365 32-Bit in September 2018. Not Supporting 64-Bit Office is an issue, suggesting a workaround that does not meet current State and Federal Compliance Regulations is an even bigger issue. This has solved incoming and outgoing inventory availability and wholesaler inventory availability review very well. Acctivate integrates great with quickbooks and only really has one flaw that I can find. Acctivate is not a 64-Bit application which causes some feature failures. It also has memory issues due to its 32-Bit code base. Most Software vendors are not going to invest in 64-Bit code upgrades unless customers force them to do it. They'll wait till they are forced to do so by the Server/Client OS 32-Bit compatibility requirements, which are coming fast. If they wait too long you'll be stuck in a compatibility loop. You wont be able to upgrade a server because the application your business depends on is not 64-Bit compliant. Additionally, 32-Bit software is more vulnerable to security exploits. This is a financial based software, Cyber Security is not negotiable with this in mind. Review collected by and hosted on G2.com.

What do you like best?

I think the dashboard is simple but well done. We can scan products quickly and thanks to our external handheld the data transfer works perfectly. What do you dislike?

Unfortunately, I can only partially link the software to our billing software, so certain steps still have to be done manually. Review collected by and hosted on G2.com.

We can optimize the stock management and thanks to the analyses we can see exactly which products need to be reordered and when. In addition, the integration into the existing network has been very easy - scanners are recognized immediately and product information can be added in a few steps. What do you like best?

It's pretty easy to get figured out and manage your inventory and sales in. The customizable reports can be used for almost any function you want from sending inventory feeds to creating sales reports. Support team is very helpful and quick. Review collected by and hosted on G2.com.

What do you dislike?

Some functionality would be helpful, like if applying payments in Acctivate could be synced to Quickbooks or if the Order manager tool would let you perfom actions to PO's by just highlighting them. Review collected by and hosted on G2.com.

What do you like best?

I like that it is pretty easy to use, It does our inventory management and invoicing. I also like how its EDI compatible. Review collected by and hosted on G2.com.

What do you dislike?

It can be slow at times when invoicing especially if you have a ton of them to do. It would also be nice if it was able to do USPS, FEDX, and UPS labels too. Review collected by and hosted on G2.com.

There's no question the software works. It does everything that it is advertised to do. Furthermore, their customer support is off the charts great! They bend over backwards to make sure you know how to use it. QuickBooks cannot effectively manage inventory. And, QuickBooks cannot track it by lot codes that are necessary for managing perishable products. What do you like best?

The best feature is the self contained robustness that acctivate offers. From an inventory standpoint, we can set all kinds of min/max values and really keep tabs on our products. It can generate tons of reports and custom ones can be made as well.

In addition, from a sales side, it stores plenty of addresses and the process of submitting a PO or invoicing the order is a breeze. Review collected by and hosted on G2.com.

What do you dislike?

It does have a few perceived shortcomings.

1) Very heavy on the graphic resources: This often leads to improper shut downs of the program, visual errors and memory issues. This has some to do with our choices in hardware, but it is very resource intensive.

2) Pre-auth: Some programs will allow your pre-auth to be adjusted in the upward direction. Acctivate is not one of those. You must delete it and then charge separately (effectively removing double funding from your customer).

3) Sensitive order of operations: There are some actions that must be done in order. If you don't, you end up in an endless error loop that could eat of 5 minutes of your time. For example, if you have a dropship D and a lot number assigned. If you change it to a Stock Shipment (P) before removing the lot number, you will end up in an error loop.

4) Windows: You are only able to have a finite (20's ish for me) amount of windows open. Furthermore, the window button only shows you 10 active windows. So if you are using 15, you can't switch directly to them using the window tab.

There are some more that could eventually be improved upon, but these aren't "deal breakers" just improvement possibilities. Review collected by and hosted on G2.com.

Have someone on staff who is very computer savvy. Preferably an in house tech to help explain/troubleshoot or communicate with Acctivate staff when help is needed. While there are a great deal of tutorials, you will only be able to get out of Acctivate the same quality of work you can put into it. Review collected by and hosted on G2.com.

What do you like best?

The flexibility to create custom reports that help me get the information that I want. The ease of use that helps me train new employees quickly. The Order Manager that directs the flow of an order from quotation to delivery. Review collected by and hosted on G2.com.

What do you dislike?

Some of the journal entries created in QuickBooks after synchronization are difficult to trace. The inability to look up vendor information outside of creating a PO. The lack of suggested MIN/MAX stocking quantities. Review collected by and hosted on G2.com.

There are a number of options out there. Acctivate is very reasonably priced for the capacity that it can function. What do you like best?

I really like that orders are very neat and the software is very easy to use if you do not make mistakes. All the functions are intuitive and do not take very long to learn, Review collected by and hosted on G2.com.

What do you dislike?

If you make a mistake with some of the functions like inventory or cost landed, then fixing those mistakes can be very time consuming and difficult. The support often takes longer than we would like. Thank you for letting us know how we’re doing. I’m glad you have found Acctivate to be easy to use and easy to learn and have seen improvements in purchasing and gains with reporting.

Acctivate was designed to streamline processes, most of which is automated, but when human error is involved there are steps that must be taken to correct the issues. I apologize for any inconvenience correcting those errors has caused, but we continually work to make improvements in the system that can also catch errors, such as through warnings.

I’m sorry to hear you haven’t had the best response times with support. Our team works very hard to respond in a timely manner to every customer support request. We do receive a high volume of requests and take care of them in the order received and based on urgency. We’ve also added additional reps to our Support Team to answer phones more consistently.

I have the same problem with the spelling of ‘Acctivate’, too. It really got me when I first started working here. It is great to hear that you are finding the sync between QuickBooks and your web store with Acctivate to be seamless.

In terms of the search capabilities, they have significantly improved through the years, but I do understand the productivity benefits via incremental search directly from a window. I’ve presented this as a consideration for future UI enhancements. But I also would like to add that our Lookup functionality via the magnifying glass is very powerful and does have incremental search. You also mentioned that there are challenges that can negatively impact user experience. What do you like best?

The software integrates well with Quickbooks Enterprize (QBE). Our QBE file had grown to an unruly slow size because of our large inventory. We had to do something before our system failed as Intuit was warning us the file size was getting too large and they could not fix issues with the file. Using Acctivate solved this issue for us and at the same time provided us with a fairly good CRM solution which was another problem we were facing. Review collected by and hosted on G2.com.

I do wish it was better at reports. Some of the reports that I would like don't exist without Crystal Reports and Crystal Reports seems very expensive per user. I wish I didn't need Crystal Reports to get what I need.

Sometimes Acctivate is glitchy and just closes down. Some times it changes the number of pieces I enter on the line items. It does not transfer the invoice reports to Quickbooks very well at all. All of our customer part numbers have to go in the special instructions field but this field does not show up if we email the invoice from Quickbooks. Almost anything that is not included in Acctivate can be added with addons.

Acctivate has helped us for any of our current CRM needs and has everything that we will need for our CRM needs in the future as our company grows. The Dashboard is amazing, giving everyone that logs in a great view of how the business is doing or has been doing. The fact that Acctivate almost acts as a building block that can have addons installed into it to make it more versatile or cover any needs that is not already included is definitely a great benefit. We used to have to manually create labels for every line item that was sold and now its all automated thanks to a report we had created and added to Acctivate. A huge benefit is the Inventory Management. We have more inventory than what can be managed manually so the inventory management has helped us immensely. What do you like best?

Freezes all the time. Getting stuck in a loop hole when an error message pops up and you can't exit without restarting the program. It's slow. Review collected by and hosted on G2.com.

Please fix glitches. For example, when entering a transfer, if you enter the wrong warehouse it will not let you simply change it. What do you like best?

I like the ability to see emails sent out of Acctivate to customers with the attachments on each order (sales or purchasing). This gives me a good base to look back on to check my work when a problem arises. Review collected by and hosted on G2.com.

What do you dislike?

The reorder tab constantly crashes and glitches. This means I have to manually force Acctivate to close. This also happens when trying to attach something to purchase orders. If I click something to take away from uploading it will glitch and that is the only screen that will appear when I try to close and go into anything else till I close the entire program. Acctivate is a little difficult at times. They need to fix all the glitchy portions- it seems like there is a problem with the reorder screen specifically. However, it works decently for us. This isn't a feature I use too often with my job title but I can check and see how much we have of something in each location which is helpful. The only non helpful part of this situation is when I have a partial inventory partial drop ship order then it just looks complicated and I have to go into the order specifically to see where my problem is. What do you like best?

I like the business activities the best. They are tied into every aspect of the software, and can completely be customized to the business's need. I also think the Lot numbered inventory management is great, We keep much better track of our inventory. The dropship PO's being created from sales orders is another feature that is really liked and utilized in my company. Review collected by and hosted on G2.com.

As for reports, the 100+ standard ones have default settings and can be easily modified for the information you need. I recommend looking at the resources on our help site to get the most out of your reports (https://help.acctivate.com/learn/reports/). What do you like best?

That Acctivate maintains customer order history. Review collected by and hosted on G2.com.

What do you dislike?

That you can not open Vendor Invoices in Acctivate. . That it doesn't record every person that made changes to invoices, or sales orders, etc. When posting inventory counts it doesn't show me the current count, but it does show what the system has for the current count on the count sheets. It should be both. Once you enter a count you should be able to adjust it in case there was a mistake during entry. That I can't alter a quantity while creating a PO in the reorder screen. Thank you for your input and being candid with us.

I’d like to further educate readers regarding vendor invoices in Acctivate. While they cannot be directly viewed in Acctivate at this time, they are viewable in QuickBooks and all vendor info syncs from QuickBooks to Acctivate.

By default, we do not enable viewing of the current count when posting inventory to prevent any skipping of the counting process or other user concerns. But our support team can make slight modifications to your count sheet document to make that possible. Also, from the reorder screen, PO Qty is a modifiable field along with PO Unit, PO Cost, PO Supplier and Lead Time. Support can also assist with this if you are still finding it can’t be modified. In our use of the software, Quickbooks continues to be our accounting software as it is directly integrated with ACCTivate. It is imperative that if you are considering this configuration; your Quickbooks MUST be clean and organized. What do you dislike?

That half of the reports aren't complete. Example: reports - order processing - salesperson sales - your fields are only date and salesperson. The name of the report is Product class by salesperson you don't even offer the product class.

On alot of the reports the fields are defaulted to egual to and you don't have the option to change it.

Another thing is 40% of the time you when you are trying to sign in you can't get your log in to pop up.

It freezes up alot. I have figured out to hit Esc and most of the time it corrects it's self. Review collected by and hosted on G2.com.

Thank you for sharing feedback about your Acctivate experience. Right out of the box our standard reports use default settings. But we know that each customer may need to personalize them a bit more, and Acctivate makes it easy to manage all the reports in your system.

You pointed out that the Product Class by Salesperson report does not offer product class as a filter, and that is true by default, but Admin users with access to the Configuration Manager can quickly add Product Class as a filter in the Report Catalog. You can add or change the filtering criteria of any report to meet your business needs. For further explanation on how to do that read our help article at https://help.acctivate.com/articles/856/.

What do you like best?

The detailed reports that can be pulled is a plus. Business alerts are nice to have all the information located on one central screen. Review collected by and hosted on G2.com.

Support call back times have lengthened. Will get stuck in continuous loops often and the program will shut down. I wish this had a feature to sync the data between QB in the background and then also be able to fix sync items without calling support. Review collected by and hosted on G2.com.
