# How are other agencies working around HighLevel’s limits for bigger or more custom clients?

For small clients, HighLevel feels like a great fit. The friction starts when I try to support larger or more complex accounts. I bump into limits around deep customization and complex workflows, and I worry when I read that bigger companies may outgrow it compared to tools like Salesforce. I also feel nervous about deploying snapshots or advanced setups because I cannot easily preview or manage them the way I would like, and I do not want to rebuild work for each client.
If you serve bigger or more custom clients, how are you working within HighLevel’s structure, or deciding when a client has simply outgrown it?

Many agencies handle larger or more custom client requirements by combining HighLevel with tools like Zapier, Make, custom APIs, and external databases. HighLevel covers most CRM, automation, and communication needs, while custom integrations help fill gaps for advanced reporting, complex workflows, proprietary systems, or enterprise-level requirements. The key is using HighLevel as the central hub and extending it where needed rather than forcing everything into a single platform.

### Comment 2

I used GoHighLevel for a company with 100-150 employees, 25 user accounts, and about 4,000 Contacts being generated monthly. And already at this scale, GoHighLevel was causing intense pain-points and friction. In my opinion, as a software engineer, GoHighLevel is not properly build to scale for large organizations, as seen with basic limitations like roles/permissions (which does not even allow separation between Read vs. Update permissions), strict API limits (100 requests per 10 seconds, which if you're doing multiple Read requests per interaction, you're going to hit the limit quickly if you have high usage in peak hours).

Try automating pipeline stage movement in HighLevel. You can set workflows to move deals automatically (like from 'Discovery' to 'Proposal Sent' when an email is opened) and trigger follow-up tasks after periods of inactivity.
