Question on: HelloFund
[What fundraising tools work best for Catholic school galas?](/discussions/what-fundraising-tools-work-best-for-catholic-school-galas)

Catholic school galas have a unique energy. Strong community ties, parent volunteers, and a mission that donors genuinely care about. The right tools should support that, not get in the way. Silent auction software, fund a need moments, and peer to peer giving pages can all work together when the platform is built for events like these. What has your school found most effective? Any tools or approaches you'd recommend?

HelloFund was built with events like these in mind. Catholic schools make up a significant part of our client base. Silent auction bidding, Fund a Need, and peer to peer giving pages all live in one platform. No duct tape between tools. Our clients tell us the biggest win is having one place to manage everything and one team to call when they need help.

Question on: HelloFund
[What's the biggest mistake schools make when running their first gala?](/discussions/what-s-the-biggest-mistake-schools-make-when-running-their-first-gala)

First time events are exciting and overwhelming in equal measure. A few patterns show up again and again: Underestimating setup time. Skipping a mobile bidding test run. Not promoting the auction in advance so guests arrive ready to bid. Relying on one volunteer who knows how everything works. If you've been through it, what do you wish you'd known before your first event?

The one we see most often: waiting too long to promote the auction to attendees before the event. Guests who know what's up for bid before they walk in bid earlier and bid more. We coach our clients to send item previews via email in the week leading up to the event. It consistently drives higher engagement.

Question on: HelloFund
[How far in advance should you set up your silent auction platform?](/discussions/how-far-in-advance-should-you-set-up-your-silent-auction-platform)

Waiting until two weeks before the event is one of the most common mistakes. Item entry alone takes longer than most people expect. Add in guest communication, mobile bidding setup, and sponsor recognition and you're looking at a real project. Most experienced event chairs start 6 to 8 weeks out. Some go longer for larger events. What's worked for your team? When do you typically go live?

We recommend 6 to 8 weeks minimum for most events. At HelloFund our onboarding team works with clients from day one to build a realistic setup timeline. Item entry, guest communication, and bidding configuration all take longer than expected. The teams that start early have a noticeably smoother event night.
