One challenge we faced was ensuring the transcription bot joins every meeting consistently. This usually broke down in edge cases, like recurring meetings, external invites, or permission mismatches. We had to double-check calendar integrations and user settings to make sure coverage was reliable.

We saw issues when meetings were started ad hoc instead of from the calendar. Bots usually don’t join those automatically.

Fireflies is probably the safest answer if the main priority is broad meeting platform coverage + searchable transcripts afterward. Fathom is great, but I still mostly think of it as a Zoom-first favorite. tl;dv also seems strong, especially for Zoom/Meet-heavy teams, but feels a bit more meeting-notes-first than true org-wide transcription infrastructure.

Fireflies has been the most practical for us. It joins meetings automatically and gives live transcripts, but accuracy drops a bit when people talk over each other.

One thing to check for is latency. Some tools lag slightly, which can affect the usefulness of live transcripts during the meeting.

We tried using Fathom and Google Speech to text. Fathom felt strong for summaries and highlights, but it was not as focused on real-time transcription during the meeting itself. Google Speech-to-Text was very powerful and accurate, but it requires technical setup, so it’s not ideal for most teams looking for a quick solution.
