Many payroll providers advertise a low base price but tack on fees for common payroll necessities like year-end filings, adding employees in multiple states, or running off-cycle payroll. I want to understand OnPay's full pricing model before committing -- are there any additional fees buyers should know about upfront?

OnPay does not charge any extra or hidden fees for year-end filings, W-2s, 1099s, multi-state payroll, or off-cycle pay runs ⁠— all of these are included in the Payroll Essentials base plan for a clear rate of $49 base + $6 per worker monthly. While most competitors in the payroll space charge additional fees or hide these exact necessities behind upgrades, OnPay is committed to true price transparency. This means you get unlimited monthly pay runs in one state or multiple without unexpected costs when you add a worker in a new state or run an offcycle payroll. There are also zero added charges for local tax processing, software integrations, free data migration during setup, or ongoing employee benefits administration. Your monthly cost will only change if your headcount fluctuates or if you choose to layer in optional modular add-ons like HR or time tracking. Additionally, while downloading and self-printing your year-end W-2 and 1099 forms is completely free, the only optional fee outside of your advertised monthly costs would be a $10 charge per form if you choose to have OnPay print and mail hard copies directly to your workers.

For a company under 200 people, the fair question is whether a dedicated LSA platform earns its keep versus handling stipends manually or through payroll. One note on evidence: I don't have a small-business-specific Grid for this category, so these lean on small-business and mid-market review signals rather than a dedicated SB ranking. For those under 200 employees, did a dedicated platform pay for itself, and was it the admin time saved or the engagement bump that justified it?

We switched from just doing ad-hoc reimbursements through payroll and honestly even at 80 people it was getting messy. Someone always had a question about whether something was covered, receipts were getting lost, and no one could see what the budget actually looked like. A dedicated platform solved most of that pretty quickly.
